Five minutes of reading that answer the questions groups ask most often — so your quote is accurate the first time and there are no surprises on the road.

How to describe your trip for a spot-on quote

Our system reads your request like a human dispatcher. The more of these it finds, the fewer questions you get back:

Dates & times

Every service with its date and pickup time. For flights, give the flight number — we track it and plan the pickup around actual arrival.

Addresses

Exact pickup and drop-off points (hotel name, venue, terminal). "Munich" is a city — "Hotel Bayerischer Hof, Promenadeplatz 2" is a pickup.

Group size

The number we should plan for. If it may still change, say the range — seats and luggage space depend on it.

Luggage

Hand luggage only, one suitcase each, or bulky items (skis, instruments)? This decides which coaches qualify — see luggage rules.

How the right coach is chosen

We match vehicle class to your group automatically: minivans and sprinters up to ~16–19 seats, midi-coaches to ~35, full-size coaches to 50–62 seats. Two things can move you up a class:

Luggage — smaller vehicles have small holds. A group of 27 with suitcases needs a full-size coach even though a 28-seater exists.
Comfort on long days — for all-day tours and intercity legs we quote coaches with the space and legroom for the distance.

Groups larger than the biggest coach are quoted as two or more buses automatically.

What the price includes — and what it never does

Always included

The coach, fuel, a professional driver, applicable taxes, on-time pickup planning and 24/7 support during the trip.

Paid locally / extra

Road tolls, parking fees, city access permits, entrance tickets, ferry fares and driver gratuities (optional). We list them on the quote so nothing is hidden — but they are never silently "included".

City access zones — why some itineraries have notes

Many European centres restrict coaches: ZTL permits in Rome and Milan, LEZ/ULEZ in London, environmental stickers in German cities, the S100 zone in Amsterdam, coach bans in Bruges' old town. Your quote flags what applies to your route; permits or drop-off adjustments are arranged with the local operator — you just should not be surprised when the coach stops at the zone boundary instead of the cathedral door.

Multi-day charters — the bus stays with you

On a multi-day charter the coach and driver stay with your group. Two things follow:

Driver accommodation — a single room with breakfast near the group, either booked by us (added to the quote) or by you.
Driving-time law — EU rules limit daily driving and require rest; long charters may need a planned driver change. See EU driver working hours — it is the one law your itinerary must respect.

Quote validity, short notice and "indicative" prices

Validity — every quote shows a "prices valid until" date. After it, your link simply refreshes with current prices; nothing is lost.
Short notice — bookings within 7 days of travel carry a short-notice rate and are confirmed within 24 hours; payment is only charged on confirmation.
Indicative — a few services (very long transfers, remote areas) are marked indicative: our team verifies them with the local operator within 24 business hours before anything is charged.

Planning around flights

Arrivals: we include waiting time and track the flight — a delay is our problem, not yours.
Departures: for intercontinental flights plan to be at the airport 3 hours before departure; we schedule the pickup accordingly.

Sharing and paying

Every quote has its own link — share it with colleagues, revisit it later, or hand it to the person who pays. Payment is by card or bank (Stripe), in EUR or USD, in full or per the schedule shown on the quote. Details in the payment & cancellation policy.
